Add dates and times to pipeline stages

Owners can mark any pipeline stage as collecting a date and time, and recruiters can add one for each candidate from Team activity, with optional Google Calendar, Google Meet and candidate invite.

Keep the date and time with the candidate

Any pipeline stage can now collect a date and time. Interview stages are switched on by default, so a stage named Interview, or any stage with “interview” in its name, is ready to use without changing anything. Stages that also happen at a set time, like a start date or a reference call, can be turned on whenever you need them.

The date and time is saved for that candidate on that job and stage, so nobody has to guess whether “next Tuesday” meant this Tuesday.

Turn it on for a stage

Owners open pipeline settings, where each stage has a Date and time switch. Turn it on for stages that happen at a set time, then choose Save workflow. The info icon beside the switch explains the setting and shows an example, such as Going in for Interview with Client on Thu, Oct 15 at 2:30 PM.

You can switch an interview stage off, and you can switch any other stage on. Your choice for a stage always wins over the default.

Add or change a time from Team activity

On the Dashboard, open Team activity and click a stage count to see the candidates behind it. For a candidate in a stage that collects a date and time, choose Add time, pick the day and the time, and save it.

Before you save, you can add the event to your Google Calendar. With that on, you can also add a Google Meet link and email the candidate a Google Calendar invite. Choose Edit to reschedule a candidate. If a calendar event was created, it is updated to the new time. A candidate you already invited stays invited when you reschedule that event.

Boundaries to know about

Times show in each viewer’s local time, so a teammate in another time zone sees the same moment on their own clock.

The calendar options need a connected Google Calendar. Checking the invite box sends the first candidate invitation; rescheduling an event keeps that existing invitation and Google notifies its guests of the time change. Calendar events are 30 minutes long. The time is still saved even if the calendar step does not go through.

Candidates who are already in a stage need their time added once. Only owners can change the Date and time setting for a stage.
