Capture every supported resume attachment from Talent Inbox

Connect Gmail or Outlook once to turn on automatic resume intake, find supported attachments without subject keywords, process every supported file, and keep newer candidate resumes reversible.

Turn intake on with the mailbox connection

Connecting Gmail or Outlook from Talent Inbox now enables automatic resume intake for that RecruitIQ user in the same secure connection. There is no second vendor, keyword, or source switch to turn on.

Connections started from other RecruitIQ email features do not opt into Talent Inbox or turn on the user-level switch by themselves. Once that switch is on, Talent Inbox watches every Gmail or Outlook account currently connected for that RecruitIQ user. An older mailbox that was connected before this change keeps a one-click Turn on automatic intake recovery action.

Complete a mailbox connection in the same browser that started it. If the connection expires or another attempt replaces it, start again. Talent Inbox shows your own connected mailbox activity; sharing an organization does not grant access to another recruiter’s inbox.

Disconnect stops future mailbox intake and removes the connection credentials while keeping saved candidates, resumes and notes. Deleting those records is a separate action. If local credential removal fails, RecruitIQ reports an error; if Google access removal cannot be confirmed after local disconnection, a warning directs you to manage access in your Google Account. Google revocation can require reconnecting other Google features, including Calendar, and a request already in progress may finish. A pending connection popup from before disconnect must be restarted.

Candidate-alert Open resume links now check your signed-in RecruitIQ access before delivering the file. Receiving a notification does not grant access to another organization’s resume. Sign in to the authorized account before opening the link.

Find resumes without guessing the email wording

Talent Inbox now checks connected mailboxes for supported, non-inline attachments instead of requiring words such as resume in the subject or filename. A blank subject, a misspelling, a generic application subject, or a plural word such as resumes no longer prevents an otherwise supported attachment from being reviewed.

Discovery remains attachment-first. Ordinary messages without a PDF, DOC, DOCX, JPG, JPEG, PNG, or WebP attachment are not sent through resume analysis, and RecruitIQ candidate-alert emails remain excluded to prevent intake loops.

Review every supported attachment in the message

When one email contains a cover letter and a resume, or several resumes for different people, Talent Inbox evaluates each supported attachment independently. A rejected cover letter no longer hides the valid resume that follows it.

Each attachment keeps a processed, skipped, pending-review, or error outcome. Recent skipped attachments show simple categories in Talent Inbox without revealing document details or running AI again. Exact duplicate files inside the same message are ignored without repeating profile work.

Keep a matched candidate on the newest resume

When the incoming resume deterministically matches an existing candidate, RecruitIQ makes the new file active, saves the prior active file in Resume History, refreshes resume search and profile processing, and shows the update on the candidate Resume tab.

An ambiguous identity match does not overwrite a candidate or create a second person automatically. It remains pending for recruiter review. Image resumes continue to be read locally and saved as searchable PDFs after validation.
