Consistent resume reading across WhatsApp, email, and uploads

Scanned PDFs follow consistent reading steps in WhatsApp, Talent Inbox, and manual uploads.

Bring the resume through your usual channel

Send a supported resume to your organization’s resume-upload WhatsApp, receive it in a connected Gmail or Outlook mailbox through Talent Inbox, or upload a PDF from Dashboard or Candidates. These paths now share document reading and contact parsing, so an image inside a PDF can be read before candidate details are extracted.

When ordinary text extraction cannot recover enough readable text, scanned PDFs and supported image attachments get an OCR reading attempt, followed by an additional AI reader when enabled and needed. Clear text-based files keep their usual fast path. The additional reader accepts source files up to 25 MB and complete PDFs of up to three pages; each channel’s upload limits still apply. Recovery is not guaranteed, and a clearer file may still be needed.

Keep the source and review uncertain details

Original PDF and Word files keep their saved format and contents. Supported photos and screenshots become searchable PDFs. Recovered text supports contact parsing and resume search; missing or unclear details stay absent.

Automatic intake still checks that a readable document is a resume and that it belongs to the right candidate. Uncertain matches go to identity review. A file that cannot be read reports a reading problem instead of being treated as unrelated content. Manual uploads still let you review the parsed details before saving.

Talent Inbox can attach a newer resume to a safely matched candidate while keeping the previous version in Resume History. A WhatsApp submission matching an existing candidate keeps that candidate’s current resume. Manual replacement remains an explicit action.

Text search from a saved scan

When a saved PDF has no readable text layer, background resume search preparation now uses the same local OCR reader. This reading step does not run an additional AI reader, start an AI profile, or change your automatic AI setting. Your saved original and the candidate details you entered stay intact.

Background OCR attempts every page, including pages after the first three, within a total reading budget of up to one minute. Successfully read blank pages can stay in the document. Existing file-size limits still apply. If a page cannot be read or time runs out, partial text is not marked ready for search; a clearer or smaller file may be needed.

Search readiness and AI profile readiness remain separate. This update does not automatically repair earlier failed processing or guarantee that every scan can be read. Check the candidate’s processing status before treating the resume as ready.

Retry the affected file when needed

New supported arrivals use the shared reading steps automatically. If a WhatsApp resume was rejected before this update, resend the file after the update is available. For an older Talent Inbox failure, use an eligible manual scan or contact support for a targeted retry. The update does not automatically replay historical messages or rewrite existing candidate records.

A temporary reading or downstream processing failure may still need another attempt. Saving the candidate and file, adding resume search, and completing the AI profile are separate steps; check the saved resume and processing status before treating the whole import as complete.
