Edit a candidate note instead of writing a new one

Change the text of a note you wrote right where you read it, so one running note can follow a candidate through every interview stage.

Keep one running note

Notes you wrote now have an Edit button on the line with your name and the date. Press it and the note turns into a text box with the text already in it. Make your changes, then choose Save, or press Command and Enter on a Mac, or Control and Enter on Windows. Choose Cancel or press Escape to leave the note as it was.

You no longer need to start a new note after each interview. Open the note you already have for the candidate, add what you learned in this round, and save. The note keeps its place in the list, because notes are ordered by when they were first written, so nothing moves while you work.

Where you can edit

Edit is available everywhere you read a candidate’s notes: the Notes tab on a candidate’s page, a note opened from Activity on that page, and the Notes tab of the resume preview that opens from Candidates, from Candidates V2 and from the candidates on a job’s pipeline. It also works in the Related notes list beside the Notes window.

The new text appears as soon as you press Save. If the save does not go through, the note goes back to its earlier text and a message explains what happened, and your changes stay in the box so you can try again.

See what was edited

A note that has been changed shows a quiet Edited label next to its author and date. Point at it to see who made the change and when; screen readers read the same details. The date the note was first written stays the same.

Who can edit a note

You can edit the notes you wrote. Teammates can read your notes and add their own, but they do not see an Edit button on yours. Organization owners can also edit older notes written by other people on their organization’s candidates.

Notes on candidates outside your organization cannot be edited.

Boundaries to know about

Saving replaces the text, and RecruitIQ does not keep the earlier wording. If you want to preserve what a note said at an earlier stage, add a new note instead.

Replies to a note are separate and are not editable. Editing a note does not send new mention notifications, and a note can hold up to 10,000 characters. The single recruiter note on a job card works as it did before.
