Open candidate scheduling drafts from their profile

Configured recruiting teams can review a personalized scheduling message in the candidate email composer before sending.

Start the conversation from Actions

Candidate profiles include an Actions tab for organizations included in the scheduling rollout. The tab stays in place when switching between candidate tabs; other organizations do not see it. Saved template availability controls the Send email button, not whether the tab appears. Choose Send email to open the in-app composer with the candidate email, subject, first-name greeting, scheduling copy, and organization calendar link already filled in.

Opening the composer does not send anything. Review the message and From account, then explicitly choose Send. If the candidate email is missing or invalid, the draft action stays blocked and explains what needs attention.

Keep one organization template in Email Settings

Settings → Email Settings → Scheduling email is the only place to change the shared calendar link, subject, or message. Organization owners and administrators can edit and preview the template there, while recruiters can review the current version.

Each scheduling draft starts with the loaded organization template, then fills in the candidate and organization placeholders. Opening or editing a draft does not change the shared template for everyone else. An already-open email draft is preserved rather than replaced.

Choose your connected sender

You can review the draft before connecting Gmail. Sending requires a connected mailbox with sending permission; connect or reconnect it in Settings when prompted. Choose the sending account in the composer’s From field.

Scheduling emails use the same candidate email sending flow and Activity visibility rules as other messages. Background reply synchronization is configured separately. Test-delivery safeguards still apply in configured test environments.

Assign new candidates automatically when there is only one recruiter

When an organization has exactly one enabled internal team member, newly created candidates are assigned to that person automatically. This includes candidates created manually and through shared resume or application intake paths.

RecruitIQ does not guess when two or more internal team members are active. External recruiters and disabled members do not count, and an existing candidate assignment is never overwritten.
