Keep cover letters with a candidate’s documents
Save a cover letter on an existing candidate as a separate document while keeping their main resume and candidate details intact.
Choose the document type when you add a file
Open an existing candidate’s Resume tab and choose Add document from the three-dot menu. Pick the file, then choose its document type: Resume for another version of their CV or Cover letter for a letter. Save the document when you are ready. Each document has Preview, Download and Delete actions.
A cover letter stays separate from the main resume. Saving it does not change the candidate’s name, contact details, AI profile or resume search. You can keep the letter with the candidate without treating it as a new CV.
Save a detected cover letter to the existing candidate
If a file selected as a resume is recognized as a cover letter while you are working on an existing candidate, RecruitIQ offers Save as Cover letter. Choose that action to keep the document separately instead of replacing the main resume.
A cover letter by itself cannot create a candidate. If you are adding a new candidate, open the existing candidate’s record to save the letter there, or upload their actual resume to continue adding them.
Confirm the letter and candidate in WhatsApp
This confirmation flow is available only to recruiters with a WhatsApp number registered to your organization and current access to its candidates. Requests must come through the verified resume-upload WhatsApp connection. Unregistered senders cannot save cover letters this way.
When the resume-upload WhatsApp recognizes a cover letter, it asks whether you want to save it as a cover letter. Follow the requested YES or NO reply, including the file reference shown in the message. If several files await a decision, that reference tells RecruitIQ which one you mean. Declining leaves the letter unattached.
After confirming the document type, reply with the requested file reference and the existing candidate’s RecruitIQ link.
The letter is saved only after you confirm its type and identify an existing candidate in your organization. A name in the letter or the WhatsApp sender does not choose the candidate or create a new one. Other unrelated documents and files whose type is unclear do not receive this cover-letter offer.
Boundaries to know about
Public application forms still require an actual resume in the resume field. Saving a separate cover letter on a candidate does not allow a letter to replace a resume in those forms.
This applies to new document saves. Older uploads, candidate details and applications are not automatically repaired or replayed. Review the candidate and the document before saving it.
