WhatsApp resume processing and clearer confirmations
Accepted WhatsApp resumes enter resume search and AI profile processing, with clearer confirmations when processing is already underway.
Send the resume in the format you received
WhatsApp intake now accepts PDF, DOC, DOCX, JPG, JPEG, PNG, and WebP resume attachments. When a candidate sends a photo, scan, or screenshot, RecruitIQ reads the image and stores a searchable PDF version for the candidate record.
RecruitIQ still checks whether the attachment looks like a resume before creating a candidate. Unreadable files and unrelated images remain excluded.
Search and AI processing continue after intake
After an accepted resume creates a candidate, RecruitIQ adds the resume text to the organization-scoped resume index and starts the complete AI candidate-profile process. That process extracts the structured resume profile used for experience, education, skills, categories, and downstream matching surfaces.
AI profile work is handed to the durable background queue with duplicate protection and retries. Saving a candidate, making its resume text searchable, and completing its AI profile are separate steps. An intake confirmation does not mean all three have finished.
If the background queue is not configured, WhatsApp can complete the same profile process directly. A delivery problem or an uncertain handoff does not start a second AI profile.
Clearer confirmations when processing is already underway
WhatsApp now recognizes when AI profile processing for the same saved resume is already running or has completed. That resume can receive its normal confirmation instead of a misleading processing error.
If RecruitIQ cannot read the file or confirm the processing handoff, WhatsApp still reports the problem. Check the candidate record before sending the same file again: the resume may already have been saved even when a later step needs attention.
This change does not resend previous WhatsApp replies or reprocess earlier failed messages automatically.
Clear duplicate and attachment boundaries
When one WhatsApp message contains several supported media items, RecruitIQ prefers a PDF or Word document before an image. This version processes one resume attachment per message.
If the candidate already exists in the organization, WhatsApp reports the existing candidate and does not silently replace that person’s active resume or start a second profile from the incoming attachment.
WhatsApp now uses the same contact parser as normal candidate resume intake for names, email addresses, phone numbers, and locations. The complete AI profile is still generated after the candidate is saved. Previously imported contact details are not automatically rewritten.
Candidate phone numbers come from the resume. If no phone is found, the field stays blank. The sender’s WhatsApp number is kept only with submission details and is not used to match candidates, so recruiters can send resumes for different people from the same number.
